This statement explains what personal information we handle, why we handle it, and how you can access, correct or complain about how it is managed.

By using our website or engaging us for sales, leasing or property management services across Brisbane and the Gold Coast, you consent to the practices set out below.

1. Information we collect

We collect personal information directly from you wherever practical. Where it is not reasonable to do so, we may also collect it from third parties such as your representatives (for example, your solicitor or accountant), referees, tenancy databases, strata managers, body corporates, other agents, publicly available sources and the parties to a transaction. The information we collect depends on the service involved and may include:

Buyers, sellers, landlords and tenants: name, date of birth, contact details, photo identification, employment and income details, rental history, references, bank account details for trust account transactions, property preferences, enquiry and inspection history, and other information needed to assess applications or complete a transaction.

Website visitors: details you provide through enquiry forms, alert subscriptions and marketing sign-ups, together with technical information collected automatically (see "Cookies and website data" below).

Contractors and suppliers: name, business contact details, insurance and licensing information, and details needed to engage and pay you.

Job applicants: resume, references, qualifications, work history and any information you choose to provide in support of your application.

2. Why we handle your information

We collect, hold, use and disclose personal information to:

respond to enquiries and provide appraisals; market and advertise properties; arrange inspections; assess tenancy and sale applications; prepare and administer contracts and leases; manage rental properties, repairs and trust account payments; verify identity and meet anti-money laundering and other legal obligations; communicate with you about your matter or properties that may interest you; improve our website and services; and respond to complaints or legal claims.

3. Sharing your information

We may disclose your personal information to:

the other parties to your transaction (for example, sellers, buyers, landlords or tenants); our staff, contractors and service providers, including CRM, hosting, document signing, tenancy database, identity verification, marketing and trust accounting providers; portals and listing platforms where your property is advertised; tradespeople engaged for repairs and maintenance; valuers, conveyancers, solicitors and accountants involved in your matter; insurers and utility connection services where you have asked us to arrange them; and government, regulatory or law enforcement bodies where required or permitted by law.

4. Overseas disclosure

Some of the cloud, software and support providers we use store or process information on servers located outside Australia. Where this occurs we take reasonable steps to ensure those providers handle your information consistently with the Australian Privacy Principles.

5. Security

Personal information is held in both electronic and paper records. We use access controls, secure cloud infrastructure, staff training and physical security measures to protect it from loss, misuse, unauthorised access, modification and disclosure. We retain information only for as long as needed for our business and legal obligations, then destroy or de-identify it.

6. Cookies and website data

When you visit our website we may automatically collect technical information such as your IP address, device type, browser, referring page and pages viewed. We use cookies and similar technologies to remember preferences, measure site performance and improve the experience. Most browsers let you block or delete cookies; doing so may affect how some parts of the site work.

7. Marketing and opting out

We may use your contact details to send market updates, property alerts and information about services that may interest you. Every direct marketing message includes an unsubscribe link, and you can opt out at any time by contacting us contact page.

8. Accessing and correcting your information

You can ask for a copy of the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date or incomplete. Contact us using the details below. We may need to verify your identity before responding, and in limited circumstances allowed by law we may decline a request — if so, we will explain why in writing.
